Project scope

Recording

1. COVR will collect the audio, video of the talking head and presented slides, as presented at the sponsored session from all of the mutually agreed, and consenting, presentations at the Meeting. COVR will process, standardize and distribute this digitized Content (in MP4 format) as agreed by THE CLIENT.
2. COVR will digitize the live audio and video portion of a speaker’s presentation and the visual aids, PPT slides, used by the speaker in the course of the presentation. COVR will, through an editing process and using proprietary software, carefully coordinate the oral presentation with the visual presentation to re-create the live presentation as closely as possible.

Livestream

3. COVR will livestream the session on the virtual congress portal of THE CLIENT.
4. Prior to the event (1-2 weeks) , COVR will provide the customer with a livestream URL which they can embed in their own website for live broadcasting. This feed will contain a video capture of the talking head, as well as the active PPT slide and sound. Should THE CLIENT require so, COVR can also provide the surrounding webpage.
5. Prior to the event, COVR will inform the customer about possible company branding options (see Annex 1). COVR will create the surrounding webpage for the live stream which will be published on a separate dedicated webpage on the congress website.

Project specifications

COVR is making the following assumptions about this project, and has included them (except where noted) in the project:

1. Highlights and Selected Presentations
2. Duration of the session: max 75 minutes
3. Slide format:
   1. Presentations captured via COVR`s “cmWebCast” system
   2. PowerPoint® slides: To be provided to COVR by the THE CLIENT at least 2 hours before the start of the sponsored session. This needs to be done at the Speaker Preview Room of the congress and should be one PPT per speaker.
4. COVR will produce (convert, standardize, host and distribute) Content for which COVR has received written permission from THE CLIENT to be included in the database(s).
5. Content distribution methods and features:

COVR will provide the recording in MP4 format and will use VIMEO Enterprise as Content Distribution Network for the livestream.

Pricing and invoicing

The price for this service needs to be paid prior to the start of the sponsored session.

Offer and contract

The Term of this Agreement is for one project. COVR will capture the Meeting and publish the digitized Content as described above. This Agreement constitutes COVR’s offer to provide the products and services set forth above. If the offer is accepted, as indicated by the signature and delivery of this Agreement by THE CLIENT, this document shall constitute a binding contract between the parties.
